Create Your Brand Voice

Your brand voice is the way your business sounds in writing. It shows up in your captions, website, emails, product descriptions, messages, and customer replies.

Your voice does not have to be complicated. It should sound like your business and feel right for the people you want to reach.

A clear brand voice makes writing easier because you do not have to start from scratch every time.
Choose how your brand should feel

Pick a few words that describe your tone.

Examples: warm, clear, playful, calm, direct, expert, friendly, bold, thoughtful, simple, polished, helpful.
Choose what your brand is not

Write down tones you want to avoid.

This helps create boundaries. Maybe your brand is not sarcastic, not too formal, not pushy, not childish, or not too trendy.
Write a simple voice statement

Describe your voice in one sentence.

Example: “Our voice is warm, clear, and helpful. We explain things simply and never make people feel behind.”
Make a word list

Describe your voice in one sentence.

These might be phrases you say a lot, words your customers understand, or terms that fit your business.
Make an avoid list

Save words or phrases that do not fit.

This helps you stay consistent. If a word feels too harsh, too confusing, or off-brand, add it here.
Write a sample caption

Test your voice in a short social post.

Write a quick caption introducing your business, product, or service. See if it sounds like the tone you chose.
Write a sample customer reply

Test your voice in a real message.

Write a friendly reply to a customer question. Your voice should still feel helpful and clear, even in simple messages.
